How It Works

TripInviter is a private trip organiser for road trips and group travel.

The Organiser builds the trip. Guests receive a personalised invitation link.

Everyone stays on the same page — before, during, and after the trip.

FOR THE ORGANISER

1. Create a Trip

Give your trip a name, set the start date and route. Your trip opens

on your TripBoard, ready to build out.

2. Build Your Itinerary Day by Day

Add a Day for each overnight stop. For each Day you can record:

• Staying At — accommodation name, GPS location, and arrival notes
• Routes & Activities — scheduled stops, times, and what to expect
• Bookings & Codes — gate codes, key safes, WiFi passwords, booking

references. Tap to copy. Works offline on the mobile app.

• Key Contacts — the farm owner, host, or guide. Name, role,

and phone number — one tap to call.

3. Invite Your Guests

Add guests from your Address Book or by name and phone number.

Share a unique invitation link via WhatsApp, SMS, or any messaging

app — your choice. Each guest gets their own private link.

4. Manage RSVPs

See who's Going, Maybe, or Can't Make It. You'll receive a

notification each time a guest responds.

5. Share Files and Notes

Upload maps, packing lists, or permits in Attachments. Post

trip updates in Notes — every guest on the trip can read and reply.

6. Post a Broadcast Alert

Need to let everyone know about a last-minute change? Post a

Broadcast Alert from your trip controls. It appears instantly

as a banner at the top of the trip for all Guests. Set an

expiry time or clear it manually when no longer needed.

7. Add Trip Terms and Conditions

Upload a PDF named "Trip Terms and Conditions.pdf" in Attachments.

Guests can read it before RSVPing. When they tap Accept, they

confirm they have read and agreed to your conditions. Their

acceptance is permanently recorded — name, email, and timestamp.

The document is locked once accepted and cannot be altered.

8. Control Guest Privacy

In Trip Settings, enable "Hide guest list from guests" to prevent

Guests from seeing who else is on the trip. Useful for surprise

trips, tours with strangers, or corporate groups.

FOR THE GUEST

1. Tap Your Invitation Link

No app required. Your personalised trip link opens in any browser.

Create a free account to RSVP and post notes.

2. View the Full Itinerary

See every Day, every stop, every activity — exactly as the Organiser

built it. Gate codes and GPS coordinates are included.

3. Navigate with Your Preferred App

Tap any destination to open it directly in Waze, Google Maps, or

Apple Maps. TripInviter hands off the coordinates — navigation

happens in your own app.

4. Stay in the Loop

Post notes, reply to the group, and download any attached files.

If the Organiser updates the itinerary, you'll see the changes

immediately.

5. Read and Accept Trip Conditions

If the Organiser has attached Trip Terms and Conditions, you can

read the document in the Attachments section before deciding.

When you tap Accept, your agreement is recorded along with the

date and time.

6. Forward the Trip

Can't make it but know someone who can? You can forward your

invitation link to someone new. The Organiser stays in control

and can see and manage all forwarded guests.

YOUR PRIVACY

TripInviter is invite-only. Trip details, gate codes, and guest lists

are only visible to the Organiser and invited Guests. We do not track

your location, sell your data, or show advertising.
